The short version
- What we store
- Discord IDs and the league data your admins enter: teams, positions, contract offers, warnings and reports. Plus a log of commands used.
- What we don't
- Your messages, your online status, your DMs with other people, or card and bank details.
- Why
- To run your league's features, fix problems and stop abuse. Never for ads, and we never sell it.
- Who sees it
- Your league inside its own server, the developer, and the services that host the bot.
- Your choices
- Leaving a server removes you from its lineups automatically, and you can ask us to delete your data at any time.
01Who we are
Team Management System (the “Bot”) is a Discord bot for running racing leagues, developed and operated by jjerz (“we”, “us”). We are responsible for the information the Bot stores. This policy explains what that is, why, and what you can do about it. It works alongside our Terms of Service.
02What we collect
When you use the Bot. When you use a command or press one of its buttons, Discord sends the Bot your user ID, username, avatar, your roles in that server and the options you chose. The Bot uses this to respond and, for lineup changes, to update your roles. It only keeps what is listed in the table below.
From your server. The Bot sees the server's name, channels and roles so admins can pick them in its settings. It is also told when members leave, so it can remove them from lineups. Nothing is stored about members who aren't on a lineup.
What the Bot stores:
| Data | What it includes | Kept for |
|---|---|---|
| Server settings | Server ID, the channel and role IDs admins choose, team and position names, league rules and branding | While the server uses the Bot |
| Lineups | User IDs of each team's owner and of members in each position, plus the league owner and admins | Until the member is released, leaves the server, or the season is reset |
| Contract offers | Who was offered a position, by which team, who sent it and when it expires | Until it is accepted, declined, withdrawn or expires |
| Signing cooldowns | The team and the member who declined | Until the cooldown ends |
| Team warnings | The team, the type, the reason written by an admin, who issued it and when | Until it expires or an admin clears it |
| Reports | Who opened it, the team reported, the report channel and its current stage | Until a steward closes it |
| Activation records | Your server's ID, when it was activated, and a short internal note such as a payment reference | While the server is activated, and afterwards for our records |
| Logs | Each command used, including what was typed into it, with the user's username, avatar and ID and the server's name and ID. Errors are logged the same way. | Only as long as needed to fix problems and prevent abuse |
Messages the Bot posts. Offers, lineup boards and announcements are ordinary Discord messages in your server. They stay until your server's moderators delete them, and Discord's Privacy Policy covers them.
When the Bot is added to a server that isn't activated. It reads the server's name, ID and member count and, if it has permission, the audit log entry showing who added it, so it can send that person a short notice. Then it leaves. We keep a log line with the server's name, ID and member count.
Direct messages. The Bot may DM you in three cases: if you add it to a server that isn't activated, if you're a league owner and a role or channel it uses is deleted, or if you're a team owner and one of your members leaves while the server has no transactions channel. It can't read replies.
Payments. Payments are arranged directly with us and made through third-party services such as PayPal, Roblox or a cryptocurrency wallet. We never receive full card or bank details. We see what that service normally shows a seller, such as an account name or wallet address and the amount, and may keep a short note of it with your server's activation.
03What we don't collect
- The content of messages in your server. The Bot doesn't have access to it.
- Your online status, activity or what you're playing.
- Voice, your DMs with other people, or anything from servers that don't use the Bot.
- Card or bank details.
04How we use it
- To provide the Bot's features: lineups, contract offers, roles, warnings, reports and race registration.
- To tell the right people about important changes, such as a member leaving a team or a role being deleted.
- To fix bugs, keep the Bot reliable, and investigate spam or misuse.
- To manage which servers are activated, and to handle renewals and payment questions.
We don't use your information for advertising, we don't build profiles of you, and we don't sell it.
05Legal bases
If you are in the European Economic Area, the United Kingdom or another place with similar rules, we rely on:
- Contract. To provide the service an activated server has signed up for.
- Legitimate interests. To run league features for members of activated servers, and to keep the Bot secure and working. We only use what's needed for that.
- Legal obligations. Where we have to keep records, such as for payments.
07How long we keep it
Each type of data is kept for the time shown in the table in section 2. Much of it is removed automatically: members are taken off lineups when they leave a server, and offers, cooldowns and warnings delete themselves when they expire.
When a server stops using the Bot, its settings and lineups may be kept so the league can renew without losing its setup. The server owner or league owner can ask us to delete all of it at any time, and we may also delete data for servers that have been inactive for a long time.
08Your choices and rights
- Leave or be released. Leaving a server removes you from its lineups straight away. A league admin can also release you at any time.
- Ask us. You can ask for a copy of what we store about you, to correct it, or to delete it. Server owners and league owners can ask us to delete everything stored for their server.
- Object or restrict. Depending on where you live, you may also have the right to object to or limit how we use your information, to receive it in a portable form, and to complain to your local data protection authority.
Some data, such as warnings and lineups, is managed by your league, so we may pass requests about league decisions to your league's admins. We aim to answer every request within 30 days.
09Children
The Bot is meant for people who meet Discord's minimum age in their country. We don't knowingly collect information from anyone younger. If you think a child's information is stored, contact us and we will delete it.
10Security
Data is kept in a password-protected hosted database that only the developer can access, and each server's data is kept separate. No system is perfectly secure, so we can't guarantee absolute security, but we will act quickly if something goes wrong.
11Where data is stored
The companies that host the Bot and its database may store data outside your country. By using the Bot, you understand that your information may be processed in other countries, where we still protect it as described here.

These pages don't use cookies, analytics or trackers. The fonts are loaded from Google Fonts, so your browser connects to Google's servers when you open them.
13Changes to this policy
We may update this policy as the Bot changes. The date at the top shows the current version, and for significant changes we will try to let activated servers know.
